Cancellation Policies

Delayed Arrivals & travel restrictions

If you are unable to travel due to government-imposed travel restrictions, please contact the Amber team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

No Visa No Pay

Applicable to first-year students whose visa is refused. Cancellation allowed if visa is refused Must provide evidence of visa refusal Must notify within 5 days of refusal

No Place No Pay

Applicable to first-year students only. Condition: Did not achieve the required grades for university admission Must notify within 5 calendar days of results Required documents: UCAS/university rejection letter Acceptance letter from an alternative university (if applicable) Refunds processed within 10 working days

Replacement Tenant Accepted

The tenant must arrange a replacement tenant Replacement must: Be a full-time student Be studying or intending to study at a Specified Educational Establishment Sign a tenancy agreement (TA) Provide all required documents The replacement tenant must take over the full tenancy before the existing contract can be cancelled. The original tenant remains liable for the tenancy and rent until the replacement tenant takes over the tenancy. Liability ends

Early termination by students

For rolling contracts/assured period tenancies, working professionals must provide a UK guarantor and can give 2 months' notice before ending their tenancy.

Cooling Off Period

Cancellation is allowed within 48 hours without penalty. The applicable cooling-off period ends once the tenancy has been countersigned by the property team. After the applicable cooling-off period, the student can no longer cancel free of charge.

Guarantor Requirement

No UK or international guarantor is required. The rent already includes the Leap Waiver cost, so no separate guarantor fee is charged.

Pay In Instalment

Students eligible for the Leap Waiver can opt for the available 4- and 9-instalment plans without providing a guarantor. Students receiving Student Finance England (SFE) can request their rent payment schedule to be aligned with their student finance payments by providing proof of SFE. This option is usually recommended for the 4-instalment plan. The instalment due dates are as follows: - 9 Instalment Option: 1. August: 10% of total rent 2. September: 10% of total rent (or 20% if booked after 14 August) 3. October: 10% of total rent 4. November: 10% of total rent 5. December: 10% of total rent 6. January: 10% of total rent 7. February: 10% of total rent 8. March: 10% of total rent 9. April: 20% of total rent 4 Instalment Option: 1. August: 10% of total rent 2. September: 34% of total rent 3. January: 34% of total rent 4. Additional Fees

Dual occupancy is available in all studio types except Classic Studio and Compact Studio room types. An additional fee of £50 per week applies. Both prospective tenants must be full-time students. Dependants are not permitted.

Do I need to notify them of my arrival?

Yes. Your property team will email you. Let them know to help them ensure your check-in is as smooth as possible.

Can someone else check in for me?

No. You must present ID and collect your key in person.

What do I need to check in?

Tenancy signed by you and co-signed by them

Left something behind?

Unfortunately, items left in rooms after check-out are disposed of.

What happens after check-out?

Once you've moved out, they will inspect your room and let you know if there are any deductions. Your deposit will then be returned via MyDeposits within 30 days.

Can they store my belongings after I leave?

No. You will need to arrange external storage if needed.

Can I leave my items if I've rebooked?

Only if you have a summer short stay tenancy, or a summer storage contract to cover the gap between contracts. Speak to your team.

Forgot to add something to the inventory?

You will likely be charged. Always complete the inventory form thoroughly at check-in.

What if something is broken in the kitchen?

Damages are charged. Shared kitchen items are split unless one person accepts full responsibility.

What do I need to do before check out?

You should:

Clean your room and kitchen
Remove all personal items
Sign out at Reception

What is the latest checkout time?

Usually 2:00 PM — confirm with your onsite team.

When do I check out?

You must check out before your tenancy end date. You can leave early. Please ensure you are signing out at Reception, speaking to your Accommodation team, or using the check-out form emailed to you before your check-out date.

When do I provide my Council Tax Exemption Certificate?

Within 7 days of registering at your university, submit it to your onsite team. You will be emailed with guidance after check-in on how to get your Council Tax exemption certificate from your relevant university. Please note that without submitting this, you will be liable for Council Tax.
